What is payroll software?

Payroll software calculates pay, tax and deductions for employees, files the returns and payments due to tax authorities and pension providers, produces payslips and posts the journals to the ledger. Modern products also handle onboarding, benefits and multi-country payroll through one system.

The market splits by geography and size. Country incumbents such as ADP, Paychex, Sage and IRIS run payroll for millions of employers; cloud challengers such as Gusto, PayFit and Personio took the small and mid-sized market; global platforms such as Deel, Remote and Rippling added employer-of-record and multi-country payroll. Two newer models matter for finance teams: embedded payroll, where Check lets any software product run payroll under its own brand, and AI-native payroll, where Warp and Ordio automate compliance and filings with agents. Deel passed $1.4 billion in revenue and Rippling $1 billion in 2026.

Common questions

What is the difference between payroll software and a payroll service?+

Software calculates and files with the employer's staff operating it; a service or bureau does the running for you. Most cloud payroll products now blur the two by filing automatically.

How is AI used in payroll?+

Checking timesheets and inputs for errors before the run, answering employee pay queries, handling registrations and filings in new states or countries, and flagging compliance changes.

What payroll software works for international teams?+

Deel and Remote for employer-of-record and contractor payments, Rippling and Papaya for multi-country payroll on one platform, Oyster for distributed teams.
