What is subscription billing?

Definition

Subscription billing is invoicing customers automatically on a recurring schedule, such as monthly or annually, from the terms of their subscription or contract. The billing system holds each customer's plan, price, start date and billing frequency, generates invoices on time, collects payment, and handles changes such as upgrades, downgrades, renewals, cancellations and mid-period proration.

How subscription billing works

Each customer subscription is set up once with its products, prices, discounts, term and billing frequency. The system then raises invoices on schedule, charges cards or direct debits where agreed, and sends reminders for unpaid invoices. When a customer changes plan mid-period, it calculates a prorated charge or credit. For B2B companies, contracts often mix fixed subscription fees with usage, one-off services and price increases at renewal, which is where spreadsheets and manual invoicing break down. Billing data drives revenue recognition, deferred revenue and metrics such as ARR, so the billing system needs to pass contract and invoice detail to the ledger, not just totals. Tabs turns contracts into billing schedules, Rillet and Campfire combine billing with the general ledger and revenue recognition, and Monk runs invoicing and collections for B2B companies.

Common questions

What is proration in subscription billing?+

Charging or crediting a customer for part of a billing period when they change plan, start or cancel mid-period, based on the days used at each price.

Is subscription billing the same as revenue recognition?+

No. Billing decides when to invoice; revenue recognition decides when the revenue is earned. An annual subscription billed upfront is recognised monthly, with the rest held as deferred revenue.

When does a business need subscription billing software?+

When contracts include plan changes, usage, discounts or renewals that make manual invoicing slow or error-prone, or when billing data has to feed revenue recognition and ARR reporting.
