Xero Launches Google Gemini Integration for Live Ledger Data
Xero’s Gemini connected app, launched October 14, puts live profit, cash and invoice data into chat, with confirmation required for any edit.
Xero launched a connected app for Google Gemini on October 14, 2026, the first financial management platform to do so, letting small businesses and their advisers pull live ledger data into the assistant. The Xero Gemini integration is built on Xero’s agentic platform, JAX.
Users can ask Gemini for profit and loss figures, cash position, overdue invoices and unpaid bills, and get charts back in the chat window. Xero serves customers in more than 180 countries, and the connected app is aimed at business owners, accountants and bookkeepers alike.
For practices, the change is about where the work happens. A bookkeeper who already lives in Gemini can query a client’s receivables without opening Xero, and an owner can check cash before a supplier call. The cost is a new set of questions about permissions, client consent and what an AI assistant is allowed to touch.

Xero announced the product in a media release dated Wellington, New Zealand.
What the Xero Gemini integration does
Xero lists five areas of data and function. The first is financial health: profit and loss statements, income and expenses, the balance sheet and cash position, all requested through conversational prompts.
The second is sales and receivables. Gemini can identify overdue balances, draft initial invoice summaries, track high-revenue clients and manage recurring subscriptions. The third is purchases and payables, covering outstanding bills, overdue bills and vendor payment requirements.
The fourth is visual reporting. Gemini can turn the raw figures into net profit and loss graphs and aged receivables distributions inside the chat. The fifth is organisation and contacts: business details, base currency, and contact information for customers and suppliers.
Xero says the connection keeps data in continuous synchronisation with the ledger, so answers reflect the current state of the books rather than an export from last week.
Permissions: edits need explicit confirmation
The app is not read-only. It can act on the ledger, but only with a human sign-off. Any operation that changes financial data, such as issuing an invoice or sending a payment reminder, requires explicit user confirmation in Xero’s connected app in Gemini before it runs.
Xero said the review step and final judgment stay with the accountant or bookkeeper and the business owner. Diya Jolly, president of product and technology at Xero, framed the product around that workflow.
“Connecting Xero financial data into Gemini conversations helps small businesses and their accountants and bookkeepers instantly check their financial position, track cash flow, and manage invoices and bills, all without breaking their workflow.”
Diya Jolly, President of Product and Technology, Xero
Xero said financial information shared between the platforms is used only for the user’s session, and that Xero data is not used to train Google’s Gemini models. The release gives no further detail on where the data is processed.
The protocol-level design matters for firms that care about access control. Connections of this kind typically rely on standards such as the Model Context Protocol, which lets an AI assistant call defined tools in another system. Xero has not said which scopes the Gemini app requests.
Plans, regions and pricing
Xero’s release does not tie the core connection to a specific subscription plan, and it gives no price for it. It does not list regional availability beyond describing Xero as a global platform.
One part of the launch is gated. Gemini’s “tasks” toggle, which Xero said is coming in the near future, will be open to customers on eligible plans. Users will be able to switch to tasks to create time-based schedules and workflows from live Xero data.
Xero gave two examples. One combines Xero and Gmail to prepare follow-ups for overdue invoices. The other sets a recurring schedule for a daily summary of pending bills and current cash position.
Those schedules sit close to the work of cash flow forecasting, though the release describes summaries and reminders rather than forecasts. Even in tasks, Xero keeps confirmation in place for changes to the ledger.
How it fits with JAX and Xero’s other AI connections
JAX is Xero’s agentic platform, and it powers the Gemini connected app. The release describes it as part of an approach Xero calls Accountable Intelligence, in which AI does the heavy lifting and surfaces insights while humans make the final decisions.
Gemini is the latest in a run of connections. Xero has already launched integrations with Microsoft 365, Claude, Claude for Small Business and ChatGPT. The Microsoft 365 integration was announced on July 1, 2026.
Xero also introduced a feature for practices. Accountants and bookkeepers can switch between their practice’s client organisations while working across all of these integrations, so the assistant pulls client-specific data for whichever file is open.
For a firm running dozens of Xero clients, that switch is the practical piece. Without it, an assistant tied to one organisation is of limited use to an adviser. With it, the same prompt can be run against a client’s aged receivables on Monday and another client’s cash position on Tuesday.
Anurag Agrawal, founder and chief global analyst at Techaisle, is quoted in the release on the adviser use case: asking Gemini for a client’s profit and loss, aged receivables or cash position. He said the time saved can go toward helping clients understand their numbers.
The Xero Gemini integration against QuickBooks
Xero is not alone in connecting its ledger to outside AI assistants. Intuit QuickBooks runs a connector in Claude and a plugin in ChatGPT, and Intuit expanded both on July 28, 2026.
Intuit’s announcement added invoice and estimate creation, recurring invoices, overdue reminders, payment links, payroll look-ups and peer loan benchmarking drawn from anonymised data on the top 10% of QuickBooks businesses.
The data stance is similar to Xero’s. Intuit said: “Your data stays within our Intuit systems and is never used to train foundation models.” Every action stays reviewable and human-verified.
The difference is reach. Intuit’s assistants are Claude and ChatGPT, while Xero now covers those two as well as Gemini and Microsoft 365. Intuit’s payment links require QuickBooks Payments, which is not available outside the United States. Xero’s release carries no such restriction, but it does not list regions either.

What accountants should settle before clients connect
The Xero release does not say who inside a business can authorise the Gemini connection, or what a client’s adviser can see once the client has connected. Those are the points a practice should settle in writing before it recommends the app.
Three practical questions follow. Who at the client holds the Google account that Gemini runs under? Does the engagement letter cover an AI assistant reading the ledger? And who approves a confirmation prompt when a bookkeeper and an owner both have access?
The confirmation step helps, since nothing changes in the books without a click. It does not remove the need for a policy. An owner who approves a reminder to the wrong customer has still sent it.
Data quality also decides what Gemini can say. An assistant reading a ledger with unreconciled bank lines or miscoded bills will report them faithfully. Firms that have invested in data integration and clean-up will get more from the connection than those that have not.
Xero has said the tasks feature is coming, without a date. The next thing to watch is which plans qualify for it, and whether Xero extends the same practice-level client switching to further assistants.
