Definition

Benefits administration is the work of running employee benefits such as health insurance, retirement or pension plans and other perks: enrolling eligible employees, recording their choices, taking the right deductions through payroll, paying premiums and contributions to providers, and handling changes when people join, leave or have life events. How benefits administration works

Eligibility comes from the employee record: start date, hours, location and salary. Employees choose plans during enrolment windows, and those choices become payroll deductions and employer contributions, some before tax and some after. Providers bill the employer, and the bill must be reconciled to the deductions taken, which is where errors and overpayments usually appear. In the US, health plans and 401(k) plans carry their own compliance and reporting; in the UK, workplace pensions follow auto-enrolment rules. For finance, benefits are a large part of employment cost, so they need accurate accruals and allocation by cost centre.
