What is payroll integration?
Payroll integration is the connection between a company's HR and payroll systems and its accounting software. After each pay run, gross pay, employer taxes, pension or benefit contributions and net pay post to the ledger as a journal, split by department, entity or cost centre, without anyone re-keying the payroll report.

How payroll integration works
There are three common set-ups. Payroll built into the accounting package, such as QuickBooks Payroll or Xero Payroll, posts automatically because both share one ledger. Standalone payroll and HR platforms connect through native integrations that map pay items to accounts: Gusto syncs a journal to QuickBooks Online or Xero after each pay run, and Rippling syncs to QuickBooks, Xero, NetSuite and Sage Intacct. Larger companies also use file exports or an integration platform. The work that matters is the mapping: which pay elements go to which accounts, how costs split across departments and entities, and how the payroll liability accounts clear when taxes and net pay leave the bank.

What data does payroll send to accounting software?+
A journal for each pay run: gross wages by department, employer taxes and contributions, deductions held as liabilities, and net pay. Many integrations can also split the journal by entity, project or cost centre.
Does HR software integrate with accounting software?+
HR platforms that run payroll usually do, either directly or through their payroll module. HR systems without payroll pass employee data to the payroll provider, which then posts to the ledger.
Should payroll post one journal or one line per employee?+
Usually one summarised journal per pay run, split by department or cost centre. Employee-level detail stays in the payroll system, which keeps individual pay visible only to the people who need it.
