What is supplier onboarding?

Definition

Supplier onboarding is the process of setting up a new supplier before the first order or payment: collecting its legal name, address, tax and company registration numbers and bank details, checking them, and recording the supplier in the purchasing and accounts payable systems with agreed payment terms. It is a key control against payment fraud.

How supplier onboarding works

A request to add a supplier usually comes from the buyer. The supplier then provides its details, often through a self-service portal: legal entity, registration number, VAT or tax ID, remittance address, bank account, contacts and certificates. Checks follow: the company exists, the tax ID is valid, the bank account belongs to the supplier, which in the UK can be tested with Confirmation of Payee and in the EU with Verification of Payee, and the supplier is not on a sanctions list. US businesses collect a Form W-9 from US suppliers for 1099 reporting, or a W-8 form from foreign ones. Larger companies add risk, data protection, security or sustainability reviews. Only then is the supplier approved in the master file. Changes to bank details later are a common fraud route, so they get the same checks, usually including a call-back to a known contact.

Why does supplier onboarding matter for fraud?+

Fraudsters pose as suppliers or ask for bank details to be changed. Verifying identity and bank ownership at onboarding, and again on every change, stops payments going to the wrong account.

What is a supplier master file?+

The record of every approved supplier in the ERP or AP system, with its details, payment terms and bank account. Access to change it is restricted and changes are logged.

How long does supplier onboarding take?+

From minutes for a simple supplier using a self-service portal to several weeks where security, risk or compliance reviews are needed. Delays push buyers to work around the process.
