What is collaborative accounting?
Collaborative accounting is a way of working in which an accounting firm and its client use the same live books, in one cloud system, instead of sending spreadsheets, files and backups back and forth. The client records day-to-day transactions and answers questions in the software; the accountant reviews, adjusts, closes and advises from the same data.

How collaborative accounting works
It became possible when ledgers moved to the cloud: both sides log in to the same company file with different permissions. The client issues invoices, captures receipts and approves bills; the firm reconciles, posts adjustments, runs the close and prepares returns. Queries move inside the software too: the accountant flags a transaction with a question, the client answers on it, and the answer stays with the record rather than in email. Practice tools add the firm's side: requests for documents, deadlines and status across all clients. The benefits are fewer year-end surprises and faster monthly reporting; the risks are clients editing closed periods or deleting entries, which firms manage with lock dates and permissions. Pennylane is built around firm and client sharing one platform; Xero and QuickBooks support it through accountant access; Double handles client queries; Karbon, TaxDome and Canopy manage the requests and deadlines.
