What is transaction categorisation?
Transaction categorisation is assigning each bank, card or payment transaction to the right account in the chart of accounts, with its tax code and any tracking categories such as department or project, so it can be posted to the ledger. It is the core of day-to-day bookkeeping and the step most often automated with rules and machine learning.

How transaction categorisation works
Transactions arrive from bank feeds, card providers and payment platforms with a date, amount and a description that is often cryptic. Software first tries to match each one to an existing invoice or bill; anything left is categorised. Rules handle known patterns, such as a monthly software subscription always going to IT costs, and machine learning suggests a category for the rest from past coding and from what similar businesses use, with a confidence level. A bookkeeper or the business owner reviews uncertain items, and corrections improve later suggestions. Getting tax codes right matters as much as the account, because VAT, GST and sales tax returns are built from them. What is the difference between categorising and reconciling a transaction?+
Categorising decides which account a transaction belongs to. Reconciling confirms the ledger agrees with the bank, either by matching a transaction to an existing invoice or by posting a categorised entry.
Can transaction categorisation be fully automated?+
Much of it can, using rules and machine learning on regular, repeated transactions. Unusual or ambiguous items still need review, and accuracy should be checked at month end.
Why do tax codes matter in categorisation?+
Tax returns are built from them. A transaction in the right account with the wrong VAT, GST or sales tax code still produces a wrong return.
