What is tail spend?
Tail spend is the part of an organisation's spending made up of many small, low-value purchases from a large number of suppliers, usually outside negotiated contracts and formal procurement. It is often a small share of total spend but a large share of suppliers, invoices and transactions, which makes it costly to process and hard to control.

How tail spend is managed
A spend analysis usually shows that most spend sits with a small group of suppliers, while hundreds or thousands of others account for the remainder. Those tail suppliers each create onboarding, invoices and payments, and purchases often skip approval, so prices go unchecked and the same items are bought from many sources. Companies address tail spend in several ways: guiding requests to preferred suppliers or catalogues through an intake process, moving low-value purchases to company cards with spending controls, consolidating suppliers where volumes justify it, and using spot-buy marketplaces. The aim is not to negotiate every small purchase, which would cost more than it saves, but to make the controlled route the easiest one.
