What is intake-to-procure?
Intake-to-procure is the part of procurement that starts when an employee asks to buy something and ends when an approved order or contract is in place. An intake system gives employees one place to make requests, asks the right questions, and routes each request through budget, legal, security and finance approvals before it reaches the supplier.

How intake-to-procure works
Requests used to arrive by email, chat or a form, and procurement teams spent their time chasing approvals. An intake tool replaces this with a guided request: the employee describes what they need, and the form adapts, asking about data access for software, contract value for services, or existing suppliers that could be used instead. Rules then route the request to the right approvers in parallel, such as the budget owner, legal for the contract, IT security for software and finance for the spend. Once approved, the system creates the supplier, purchase order or contract in the ERP or procurement suite. Intake-to-procure sits in front of the ERP rather than replacing it, which is why it has grown as a separate category. Zip built the category for larger companies, and Payflows covers procurement intake for enterprise finance teams.
Common questions
Why do companies need an intake system?+
Because purchase requests involve several teams, such as finance, legal and IT security. One front door with automatic routing stops requests getting lost and spend bypassing approval.
What is the difference between intake-to-procure and procure-to-pay?+
Intake-to-procure covers the request and approval stage up to the order. Procure-to-pay continues through receiving, invoice matching and payment.
Does intake-to-procure replace the ERP?+
No. It sits in front of the ERP, collecting and approving requests, then creates the supplier, purchase order or contract in the ERP or procurement suite.
