What is contractor management?
Contractor management is the process of engaging and paying independent contractors and freelancers: checking their status, signing contracts, collecting tax and identity details, approving their invoices or timesheets, paying them in their own currency and keeping the records needed for tax reporting. Done in software, it replaces scattered invoices and manual bank transfers.

How contractor management works
A typical flow starts with a classification check, because a contractor who works like an employee can be reclassified, with back taxes and penalties. The contractor then signs a contract, provides tax forms such as a W-9 or W-8BEN in the US, and submits invoices or time records, which are approved and paid, often in many currencies at once. Year-end reporting follows, for example Form 1099-NEC for US contractors. For finance, contractor costs sit in accounts payable or a separate payments run rather than payroll, so they need their own coding by cost centre and project. Why does contractor classification matter?+
If a contractor is in practice an employee, the business can owe employment taxes, contributions and benefits it did not pay, plus penalties. Tests differ by country.

No. They invoice for their services and are paid like suppliers, without tax deducted at source in most cases, although some countries and schemes require withholding.
What tax forms are needed for US contractors?+
A W-9 from US contractors and a W-8BEN from foreign individuals before payment, and a Form 1099-NEC for US contractors paid above the threshold: $2,000 for payments from 2026, $600 before.
