What is cash application?
Cash application is the accounts receivable step of matching each incoming customer payment to the invoices it pays and recording it in the ledger. When it is done promptly and accurately, customer balances are correct, collectors do not chase invoices that are already paid, and short payments and deductions are spotted early.

How cash application works
Payments arrive by bank transfer, ACH, card, cheque or lockbox, often with remittance details sent separately by email or on a portal. The cash application team matches each payment to open invoices using the amount, customer and reference. Simple cases are one payment for one invoice; harder ones are a single payment covering dozens of invoices, partial payments, deductions for disputes or discounts, payments without any reference, and payments in another currency. Unmatched amounts sit as unapplied cash until resolved, which distorts the aged debt report. Automation reads bank files and remittance emails, uses rules and machine learning to propose matches, and routes exceptions, such as short payments, to the right person. The match rate, the share of payments applied without manual work, is the main measure.

What is unapplied cash?+
Money received from a customer that has not yet been matched to specific invoices. It reduces the customer's balance only once applied, so until then invoices can look overdue when they are paid.
What is a remittance advice?+
A note from the customer listing which invoices a payment covers and any deductions. It may arrive with the payment, by email or on a supplier portal, and is the main input to cash application.
