What is accounting automation?

Definition

Accounting automation is the use of software to carry out routine accounting steps without manual work: capturing invoices and receipts, coding bank transactions, matching payments, posting recurring journals, reconciling accounts and producing reports. Rules-based automation handles predictable tasks; newer AI tools take on items that need reading or judgement, with an accountant reviewing exceptions.

How accounting automation works

Automation builds up in layers. Bank feeds and bank rules in the ledger code repeat transactions. Capture tools such as Dext read documents and post them. Close platforms such as BlackLine and FloQast automate reconciliations and journal entries for larger finance teams. AI-native tools extend this to work rules could not handle: Kick and Truewind categorise transactions and prepare the books, Numeric and Stacks prepare close work, and agents from Basis complete tasks inside accounting firms' systems. Common questions

What accounting tasks can be automated?+

Data entry from documents, transaction categorisation, bank and payment matching, recurring and accrual journals, intercompany entries, reconciliations, invoice chasing and standard reports. Judgement items such as provisions and unusual transactions still need an accountant.

Is accounting automation the same as AI?+

No. Much automation is rules: if a transaction matches a pattern, code it this way. AI adds reading unstructured documents and handling cases that do not fit a rule, which widens what can be automated.

Where should a finance team start with automation?+

Where volume is highest and rules are clearest: bank feeds and rules, invoice capture and bank reconciliation. Close and reconciliation tools come next, once the chart of accounts and processes are consistent.
