What is dispute management in accounts receivable?

Definition

Dispute management in accounts receivable is the process of recording, investigating and resolving customers' challenges to invoices, such as wrong prices, missing goods, damaged deliveries or short payments and deductions. Until a dispute is resolved the invoice is usually not paid, so fast resolution shortens collection times and prevents valid revenue from being written off.

How dispute management works

A dispute is raised when a customer queries an invoice or pays less than billed. It is logged against the invoice with a reason code and routed to whoever can resolve it: sales for pricing, operations for delivery, customer success for service issues. The team gathers evidence, such as the contract, order and proof of delivery, and either corrects the invoice with a credit note or confirms it is valid and chases payment. Reason codes show root causes, such as recurring pricing errors from a contract set up wrongly in billing, which can then be fixed upstream. In consumer goods and retail, customer deductions for promotions and penalties make this a large workload. Paraglide, Stuut and Monk use AI agents to classify disputes, gather documents and draft responses.

Common questions

Why do invoice disputes matter?+

Disputed invoices are usually not paid until resolved, so they raise days sales outstanding, and unresolved disputes often end as write-offs of revenue that was due.

What is a deduction?+

When a customer pays less than the invoice, citing a reason such as a promotion, a penalty or damaged goods. Each deduction has to be validated and either accepted or recovered.

How can companies reduce disputes?+

By tracking reason codes and fixing root causes, such as contract terms set up wrongly in billing or missing proof of delivery, before the next invoice is sent.
